The opportunity 

Butler Concrete & Aggregate Ltd. has an immediate opening at our Victoria, BC location for an experienced Dispatcher to join our team. This permanent, full-time position is responsible for ensuring timely and efficient coordination of concrete deliveries. This includes managing incoming orders, directing drivers, providing clear and accurate dispatch instructions, and maintaining seamless communication between internal teams. The role requires strong problem-solving skills, multitasking abilities, and a commitment to excellent customer service. Dispatchers play a critical role in ensuring operational efficiency and customer satisfaction.

Butler Concrete & Aggregate Ltd. is unable to provide any sponsorship and applicants must be able to work in Canada for any employer in a full-time, permanent capacity without sponsorship.

Job Details

Dispatch Operations:

  • Direct drivers and the Batch Office daily to ensure all orders are scheduled, batched, and delivered on time.

  • Provide clear directions and assistance to drivers to ensure timely job-site arrivals.

  • Monitor GPS tracking of trucks and optimize available fleet for peak efficiency.

  • Communicate with batch, delivery, drivers, and sales teams regarding orders & deliveries.

  • Review driver hours and distribute overtime in accordance with the collective agreement.    

  • Manage demand for deliveries and proactively address potential scheduling conflicts to mitigate delays.

  • Respond to delivery incidents calmly and effectively while following established response plans.

  • Maintain up-to-date knowledge of union contracts.

  • Ensure the daily shift crossover notes are completed and communicated with the team.

Order & Customer Management:

  • Receive, prepare, and review customer orders, ensuring accuracy and efficiency.

  • Communicate clearly with clients regarding delivery times, pour rates, and site safety conditions utilizing the company phone system.

  • Ensure all radio communications are done professionally and in accordance with company policies.

  • Create and manage tickets for batching and delivery.

  • Ensure accurate record-keeping.

  • Provide professional and prompt responses to customer inquiries and complaints.

Administrative & Office Duties:

  • Maintain accurate records of inventory, orders, and fuel usage.

  • Conduct monthly and annual inventory reviews at the Sooke plant.

  • Complete daily dispatch reports as required for the management team.

  • Order and stock supplies for the Sooke plant and dispatch office.

  • Assist in troubleshooting and resolving technical issues related to dispatch systems and office equipment.

  • Prepare paperwork, process purchase orders, and issue receipts.

  • Support and participate in company activities and social events.

  • Assist in maintaining a clean and organized office environment.

  • Perform additional duties as assigned by management.

  • Support other functions within the Dispatch Office as needed.

Safety & Compliance:

  • Participate in safety meetings while championing a safe work culture within the team.       

  • Ensure compliance with all Butler Concrete safety requirements and procedures.

  • Provide First Aid support as required.

What you bring:

  • 1-3 years of experience in dispatching or customer service roles.

  • Strong computer skills, including proficiency in Microsoft Office and dispatch software.

  • Experience with Command Alkon applications would be an asset.

  • Excellent leadership skills and proven ability to promote safe, cohesive, high performing teams.

  • Positive attitude and high energy in a demanding work environment.

  • Strong ability to manage shifting priorities and meet competing deadlines.

  • Ability to handle challenging situations professionally and maintain strong relationships.

  • High-level organizational, analytical, and critical thinking skills.

  • Effective communication and interpersonal abilities.

  • Ability to work independently and as part of a team in a demanding environment.

  • Professional demeanor and comportment.

  • Outstanding skills with Microsoft Office, Google Suites, and other office software.

  • Strong written and verbal communication skills.

  • Inherent ability for accuracy and attention to detail.
